Planning an event is a big task, and one of the trickiest parts is handling invitations—especially when it comes to plus-ones and RSVPs. To keep things organized and ensure your guest list stays within your planned capacity, here’s a guide to properly managing these details in a formal and polite way.
How to Handle Plus-Ones
Not every guest will automatically get a plus-one, so it’s important to specify this in your invitations. Here’s how to do it:
✔️ If a guest is allowed a plus-one, address their invitation as: "Susan and Guest" (or their full name and their partner's name if known).
✔️ If a guest is not allowed a plus-one, simply address the invitation to their name only. This makes it clear that the invitation is for them alone.
This small detail prevents confusion and avoids awkward conversations later.
How to Word the RSVP Section
To ensure an accurate headcount, include a clear RSVP request on the invitation. You have two options:
On the Invitation Itself: Reserve a section for RSVPs that states: "Please RSVP to [Phone Number/ Website/ Etc.] by [RSVP Date]." Manually insert the number of guests allowed for each invitee. Example: "__ of 2 guests accept / regretfully decline."
Separate RSVP Card (More Formal Option):For a more traditional and polished approach, print a separate RSVP card and include it with the invitation. Guests will fill it out and mail it back to you. Be sure to pre-fill the guest count (e.g., ‘__ of 2 guests accept / regretfully decline’).
⚠️ Note: Using a separate RSVP card requires extra postage—one for mailing the invitation and another for returning the RSVP.
Final Tips for a Stress-Free Guest List
Set a firm RSVP deadline to avoid last-minute surprises.
Politely follow up with guests who haven’t responded by the deadline.
If space is limited, you can add a line like: “Due to venue capacity, we kindly ask that only those listed on the invitation attend.”
By handling plus-ones and RSVPs with clear wording and proper formatting, you’ll keep your guest list organized and ensure a smooth planning process for this milestone celebration.
